Who we are

Zapio HRMS (“Zapio”, “we”, “us”) is an HR and payroll software service operated by Zapio Technologies, #3001D Aspin Tower, Financial Center, Dubai, United Arab Emirates. For any privacy question, contact us at hello@zapiohrms.com or +971 52 708 1010.

This policy applies to our website, our demo and contact forms, and our communications with you. It is designed with the UAE Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data (PDPL) in mind.

Information we collect

Information you give us. When you complete a form, book a demo or contact us, we collect details such as your name, phone number, email address, company name, number of employees, enquiry type, modules of interest, preferred demo date and time, and any message you send.

Information collected automatically. When you visit the website, our hosting and technical services may record your IP address, browser and device type, pages visited, and the date and time of your visit.

Customer HR data. Businesses that use Zapio HRMS store information about their employees, such as employment, attendance, leave and payroll details. This is covered in “Customer data in Zapio HRMS” below.

How we use your information

We use personal data to:

  • respond to enquiries and arrange the demos you request;
  • send you a confirmation of your request;
  • provide, support and improve Zapio HRMS;
  • send service updates and, where permitted, relevant product information, which you can opt out of at any time;
  • keep our website and services secure and prevent misuse;
  • meet our legal and regulatory obligations.

Customer data in Zapio HRMS

When a business uses Zapio HRMS, that business decides what employee information is stored and how it is used. For that data, the business is the controller and Zapio processes it on the business’s behalf and according to its instructions and our agreement with it.

If you are an employee of one of our customers and have a question about your data, please contact your employer first. We will support our customers in responding to such requests.

How we share information

We do not sell personal data. We share it only where necessary with:

  • service providers who help us run our business, such as hosting, email delivery and communication services, under appropriate confidentiality and security commitments;
  • professional advisers, such as lawyers and accountants, where needed;
  • authorities, where required by law or to protect our rights, users or the public;
  • a buyer or successor, if our business is reorganised or transferred, subject to this policy.

International transfers

Some of our service providers may process data outside the UAE. Where this happens, we take steps to make sure the transfer is permitted under applicable law and that your data remains appropriately protected.

How long we keep data

We keep enquiry and demo information for as long as needed to respond to you and manage our relationship, and for a reasonable period afterwards for record-keeping. Customer data in Zapio HRMS is kept in line with our customer agreements. When data is no longer needed, we delete or anonymise it.

How we protect data

We use technical and organisational measures appropriate to the risk, including access controls, role-based permissions, secure hosting and restricting access to people who need it for their work. No system is completely secure, so please contact us immediately if you believe your data has been put at risk.

Your rights

Subject to applicable law, you may have the right to:

  • access the personal data we hold about you;
  • ask us to correct inaccurate or incomplete data;
  • ask us to delete your data or restrict how we use it;
  • object to certain processing, including direct marketing;
  • receive your data in a portable format;
  • withdraw your consent at any time, without affecting earlier processing.

To make a request, email hello@zapiohrms.com. We may need to confirm your identity before responding. You may also contact the UAE Data Office if you have concerns about how your data is handled.

Cookies and third-party services

Our website uses only the technical storage needed for it to work properly. Some pages load content from third parties, such as Google Fonts and Google Maps, and our WhatsApp link opens WhatsApp. These services may collect information under their own privacy policies.

Children

Our website and services are intended for businesses and are not directed at children. We do not knowingly collect personal data from children.

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
